Aces UP was formed by a group of dedicated professionals with decades of combined experience in providing outsourced services to health care practitioners. Providing services to client bases as diverse as the “country doctor” to the large metropolitan hospital, to the national conglomerate, Aces UP is your one stop source when you have the work, but not the personnel from transcription, to medical billing & coding, to basic accounting, we handle all these services, and more.

In short, Aces UP is a business process outsourcing firm with specific focus on the healthcare sector.

The Aces UP business model offers a unique alternative to the offshore model. Our system provides U.S. (onshore) services in a market that is rapidly outsourcing jobs abroad. Aces UP Hiring Procedures

Hiring is based on need, with a pool of transcriptionists always on Aces UP’s “waiting list,” that list comprised of transcriptionists who have expressed an interest in working for Aces UP, and have proven qualified to do so. These applicants are brought on board as line count or specialties demand.

Because of this method, Aces UP is never at “peak capacity” and is always in position to ramp up for a new account, or increased work load, very quickly, in some instances less than a week for additional work in the tens of thousands of lines per day range.

Aces UP Teaches the Teacher

Aces UP strives to minimize the resources expended by our clients as Aces UP works towards taking on their transcription requirement. To that end, each account is assigned a Team Leader or Manager who will be trained on the account specifications. That Leader then trains the Aces UP team assigned to the account, and is responsible for ensuring that all software and hardware needs are in place, in conjunction with the IT team, and that all specs are distributed to the assigned transcriptionists, and learned. Our goal is that our clients never see a document until it is perfect. Aces UP has found that this method minimizes the “learning curve hitches,” horror stories about which are legendary in the industry when a proper system is not in place.

HIPAA compliance – Software
Aces UP is committed to providing our clients with a secure efficient method for transcription. Aces UP only implements programs that use or support 128 bit encryption or higher. All files are sent via the Secure Sockets Layer, SSL in short. SSL provides 128 bit encryption for the transfer of files, with limited access to the files that are in the system. Only MTs, Editors, and QA staff who receive the task can listen to the voice file or look at the transcribed file while it is our system. Account managers have access to all files to assure workflow and Quality of the transcription process.

Aces UP’s servers are on dedicated networks protected by state of the art firewalls.

HIPAA compliance – Personnel
All Aces UP employees and contractors are required to Sign NDAs as well as Privacy Agreements which are retained on file. All are made aware that any breech of confidentiality is grounds for immediate disassociation.

Aces UP Commitment to Clients

Each Aces UP account, each Aces UP relationship, brings with it its own special needs. Aces UP does not ask its clients to fit into the Aces UP box, but rather uses all the tools at its disposal to create a custom solution for each and every occasion. Much like a highly sophisticated matrix, client needs are analyzed and matched with their complementary procedure.

In those instances where there is not a methodology already available, Aces UP draws on its resources to create the environment to match the client needs.

Aces UP will always guarantee no more then 24 hour TAT with the expectation that our internal TAT will consistently be much quicker than that.

STAT reports will be returned within required timeframes, as agreed.

Aces UP guarantees 98% accuracy, but is truly never satisfied until the vast majority of document are being returned with 100% accuracy, a result achieved generally within a thirty-day “learning curve” time, with the only omissions then being “blanks” where protocol determines that it is better to leave the blank than to make a wrong guess. Anything typed should, and will be, accurate.

Aces UP is also always willing to provide feedback and suggestions to the dictators in order to help ensure a minimal number of blanks.

The Aces UP team is available 24/7, and will schedule shifts as workflow dictates. A representative of the management team will be on call 24/7, as will Aces UP IT support.

Aces UP pricing, ranges from 9cpl through 20cpl, with the vast majority of our accounts falling in the 10-12cpl range.

Aces UP uses the industry standard to determine a line, that being characters plus spaces, divided by 65.

Our clients are welcome to audit their line counts at any time.

If there is any question about a charge or invoice, Aces UP will review provide whatever additional documentation is required to substantiate any charges.

Ultimately what is important to know is that Aces UP lives by the motto that “The client is always right.” If a discrepancy cannot be reconciled for any reason, the client figure, where lower, will be used.

Aces UP offers to basic billing modes and can bill bi-weekly, net 10, or can bill monthly, due on receipt. Should a client need alternate arrangements, we can create a billing system to meet those specific needs.

Aces UP Contract / Guarantees

Aces UP is also willing to execute a contract detailing the terms of our agreement. We will also be happy to include any reasonable performance clauses, with penalties, as requested. However, Aces UP does not require a contract, time, or volume commitment. Aces UP is proud of the fact that its work speaks for itself and expects that our relationship will continue so long as we meet, or exceed, your expectations.
